This policy explains what personal information sennatranslates.com collects, why it is collected, who processes it, and what you can do about it. It covers the website only; work carried out under a separate client agreement is governed by that agreement and any NDA in place.
Who is responsible
SennaTranslates is a sole trader based in Cumbria, United Kingdom, and is the data controller for the information described here. For any question about this policy, or to make any of the requests listed below, email hello@sennatranslates.com.
What is collected
Two things, and nothing else.
The contact form. When you send an enquiry, the form collects your name, email address, and the details of your project, and optionally your phone number, service type, approximate word count or recording length, and deadline. This is the information needed to reply with a quote. Nothing is required beyond your name, email, and a description of the work.
Anonymous site statistics. Page views are counted using Umami, which is cookieless and does not collect or store anything that identifies you personally. It records the page visited, the referring site, and a general country and device type. There is no cross-site tracking, no advertising profile, and no cookie banner, because no cookies are set.
Why it is collected
Enquiry details are used to respond to your enquiry, prepare a quote, and, if you go on to commission work, carry out and invoice for that work. The lawful basis is legitimate interest in responding to a business enquiry you initiated, and performance of a contract once work is agreed. Site statistics are used to understand which pages are useful, on the basis of legitimate interest in maintaining the site.
Your details are never used for marketing without your explicit agreement, and are never sold or shared for anyone else's marketing.
Who else processes it
- Umami Cloud: records the anonymous page-view statistics described above.
- Amazon Web Services: hosts this site, your project pages, and the storage holding documents delivered to you. Files are encrypted at rest and held in AWS's London region.
- Stripe: processes card payments. Card details are entered on Stripe's own pages and never reach this site; I see only whether a payment succeeded, and the last four digits.
- Proton: hosts my email, so correspondence with you is stored under Swiss data protection law.
Some of these providers operate outside the UK. Where information is transferred internationally it is protected by the provider's standard contractual clauses or an equivalent safeguard.
How long it is kept
Enquiries that do not lead to work are deleted within 12 months. Where work is carried out, correspondence and invoicing records are kept for six years, which is the period HMRC requires for business records.
Delivered files are given an expiry date when they are released to you, typically 30 to 90 days, after which they are deleted automatically rather than relying on anyone remembering. You can ask for them to be removed sooner. Anonymous statistics are retained indefinitely because they identify no one.
Access records
When your project page is opened, a file is downloaded, or a quote is accepted or confirmed, the time, your IP address and your browser are recorded against that project. This is what allows me to say with certainty who has reached a confidential document, and it is kept for as long as the related project records. Attempts that are refused are recorded too.
There are no client accounts and no passwords: each project is reached by its own unguessable link, so there is nothing for you to create and no credentials of yours for me to store.
Your rights
Under UK GDPR you can ask to see the personal information held about you, have it corrected, have it deleted, restrict or object to how it is used, or receive a copy in a portable format. Email hello@sennatranslates.com and you will get a response within one month.
If you are not satisfied with the response, you can complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113.
Cookies
This site sets no cookies. Nothing is stored in your browser, so there is nothing to consent to and no preferences to manage.
Changes
If this policy changes, the revised version will be posted here with a new date below.
